How our AI tools work — and what happens to your information

We built the Translate a Letter tool, Grants Match, and the Annual Review Helper to make the EHCP process less overwhelming. Because these tools rely on artificial intelligence, we want to be completely open about what happens to any information you put in.

What model is used?

Our AI tools send the text you paste in to a large language model (LLM) to generate a plain-English response, translation, or draft. We use both OpenAI and Google Gemini as the underlying providers, accessed through a middle layer called the Lovable AI Gateway. This gateway lets us change providers if one is unavailable, and gives us contractual guarantees about how your data is handled.

Is my child's information used to train AI?

No. Under the Lovable AI Gateway's terms, any text you submit is not used to train AI models. It is not shared with the model providers for training purposes.

Is my information stored?

No — not by the AI models, not by the Lovable AI Gateway, and not by us. The text is processed to produce your response, then discarded. We keep a minimal anonymised log for abuse prevention only (a one-way hash of your IP, the timestamp, the language chosen, and the length of your input) — nothing that could identify you or your child.

What about evidence files I upload to my account?

If you use the case-management area to save a document (like a school letter or a professional report), that file lives in a private, access-controlled storage bucket. It is encrypted in transit (HTTPS) and encrypted at rest by the storage provider. It is not read, analysed, shared, or used to train any AI model. You can delete any file at any time. When you delete your account, all uploaded evidence is deleted within 30 days.

Belt and braces — what we ask you to do

Even with these safeguards in place, we recommend removing your child's name, school name, date of birth, and any case references before pasting anything into the AI tools. The tools work perfectly well with 'my child' in place of a name. This is a good habit to have with any online tool.

If you would rather not use AI at all

Most of the site does not use AI. The letter templates, plain-English guides, deadline calculator, and multilingual resources all work without any AI involvement. You can use these without pasting in a single word of personal information.
